  Q1 How will I send you Dictation (Voice files)?
 

A

Yoy have two options 1) Secure FTP and 2)
 
1) Secure FTP
    TransLogic provides secure and unique FTP access to all its clients to upload voice files into our FTP server. In this method the clients uses digital handheld recorders (by Sanyo, Sony, Olympus or any other leading manufacturer like Panasonic and Philips) and upload the voice files on to the FTP site using FTP client software (CoreFTP, Cute FTP, WS FTP etc) these files can be PGP encrypted as per client requirements.
     
 
2) Toll Free (Dial-in Dictation)
    The clients also have the option of dictating directly into our dial-in dictation servers via toll free telephone line.
 
  Q2 How will I receive transcription from your side?
 

A

We will send you the transcripts through same FTP. On request we can send you the transcripts through email.
 
  Q3 What will be the format of transcript?
 

A

We send transcripts in Microsoft Word format, which you can edit and print at your end.
 
  Q4 Which digital handheld recorder do you recommend and how much it costs?
 

A

We recommend digital recorders that are very easy to use and are competitively priced from Olympus (model: DS330), Sony, Panasonic, Voice IT, Uher (model: DH10), etc. Their prices range from approximately $120 to $350
 
  Q5 Can I dictate with a digital recorder and transmit over the Internet on an ftp site that is secure, encrypted and under HIPAA regulations?
 

A

We provide one client one FTP site and that's why only you will have access to allocated FTP site, which will be password protected and SSL enabled. The files need to be encrypted at the clients end and are decrypted on receipt at TransLogic. When the transcripts are sent to the clients, the similar operation is performed to encrypt the records that the client can decrypt. We use PGP software for this purpose, which is very easy to use. This way we achieve the HIPAA requirement. Our FTP sites are SSL enabled.
 
  Q6 How do I get in touch with you to set something up?

  Q7 How does Toll Free Dictation Service work?
 

A

Just call a telephone number (We will provide toll free Number) and dictate. Hang up the phone once you are done with dictation. The system will automatically send us the voice file through FTP site and we will send you the transcripts through same FTP or email as per your preference.
 
  Q8 Is there a limit to how many times a day/week you can call?
 

A

Our dictation systems are accessible 24x7x365 and you may dictate from anywhere at anytime using a touch-tone phone as well as cell phone.
 
  Q9 Is there an additional charge for Toll Free Dictation Service?
 

A

Yes, 2 cents per line
 
  Q10 What hours does your Digital Dialup Dictation System operate?
 

A

  Q11 How many clients do you have in USA and Canada?
 

A

  Q12 Can I use your dictation System and FTP simultaneously?
 

A

Yes, you can use dictation system and FTP as per your comfort. We will keep separate record for both and bill you accordingly. (2 cents extra per line only for the dictation received through dictation system). Few of our clients are using our service in this manner.
 
  Q13 Do you provide training to our staff to get going with the FTP setup?
 

A

Yes, we do provide training to your staff on how to use FTP. One hour is all that it takes for a person with minimal knowledge of computer.
 
  Q14 Do you keep all the completed files on a private ftp site for me only?
 

A

Yes (One client one FTP site).
 
  Q15 How long do you keep our dictation and charts?
 

A

6 months minimum.
 
  Q16 How will you support?
 

A

We provide email and telephonic support. Also we have local support for your query resolution. Our existing clients are happy with the support provided by us.
 
  Q17 What medical transcription quality measures you have in place?
 

A

We have very good team of experienced Editors and transcriptionists. After the dictations are transcribed by our transcriptionists, the Editors check for errors, omissions, formatting, etc., and ensures expected quality of work before they send files back to client.
 
  Q18 What equipment do we need at our end?
 

A

TransLogic provides secure and unique FTP access to all its clients to upload voice files into our FTP servers. In this method the clients use digital handheld recorders (by Sanyo, Sony, Olympus or any other leading manufacturer like Panasonic and Philips) and upload the voice files on to the FTP site. These files can be PGP encrypted as per client requirements. The clients also have the option of dictating directly into our dial-in dictation servers via toll free telephone line. The clients will need a computer with internet connection for uploading and downloading of dictations / transcripts when using handheld recorders.
 
  Q19 What is the Turn-Around Time? (TAT)
 

A

We offer a TAT of 12-24 hours. The turnaround time for a transcription depends on the urgency indicated by the physician.
 
  Q20 Do you take up Static Turn-Around Time work? (STAT)
 

A

Yes. (4-10 hours)
 
  Q21 How much does TransLogic charge for STAT jobs?
 

A

We charge depending on the type of reports and STAT.
 
  Q22 How soon can a medical transcript be completed and delivered to our office?
 

A

Within 24 hours (TransLogic can also deliver on a STAT of 4-10 hours on special needs from its clients)
 
  Q23 Do you sub-contract our transcription work?
 

A

No, all your transcription is handled in-house at our office and hence we have better security measures and better control over patient information.
 
  Q24 Does your transcription staff sign Nondisclosure and confidentiality agreements?
 

A

Yes, all our transcriptionists as well as supporting staff need to sign Nondisclosure and confidentiality agreements, prior to joining us.
 
  Q25 I am interested in your service. What will be the next step?
 

A

  Q26 Can TransLogic transcribe using our existing format?
 

A

  Q27 Can TransLogic design templates?

  Q28 Are the documents edited?
 

A

Yes, each document is reviewed and edited for unresolved blanks. Occasionally there is an unresolved blank in a report and it is usually a local term, name or place. Our editors do their best to resolve blanks but occasionally they are not successful. Any unresolved blank will be marked on the transcribed reports so that the client can review the specific report prior to printing or storage. These unresolved blanks normally decrease as your transcriptionists and editor get acquainted to your account.
 
  Q29 Do you work with macros and templates for routine dictations? If so, do you charge per each line of the macro or only the modifications we dictate to them?
 

A

Yes we do work with macros and templates provided by our clients for everyday transcription requirements. We charge by each line of the macro / template.
 
  Q30 Do you perform special formatting if that is needed? What are the prices?
 

A

Yes, TransLogic would do special formatting depending on the requirement. If the formatting is high on complexity then we charge additional, for any normal formatting requirements there is no additional charge.
 
  Q31 How does TransLogic define a line?
 

A

65 characters with spaces.
 
  Q32 Can I try your service for few days?
 

A

Yes, You can try our service for 3 days (Max. 250 lines per day) FREE.
 
  Q33 How do you work with payments?
 

A

Monthly payment through wire transfers or www.paypal.com. Incase of payment through www.paypal.com we charge additional 4% on invoice amount.
 
  Q34 How would we be billed?
 

A

The billing would be on a monthly basis. (65 Characters per line with spaces)
 
  Q35 Can we know how much bill we are running
 

A

On request from the client we can send a summary of billing statement for the current month.

A
