1. How will I send you Dictation (Voice Files)? Top
  You have two options 1) Secure FTP and 2) Toll Free (Dial-in Dictation)
1) Secure FTP TransLogic provides secure and unique FTP access to all its clients to upload voice files into our FTP server. In this method the clients uses digital handheld recorders (by Sanyo, Sony, Olympus or any other leading manufacturer like Panasonic and Philips) and upload the voice files on to the FTP site using FTP client software (CoreFTP, Cute FTP, WS FTP etc) these files can be PGP encrypted as per client requirements.
2) Toll Free (Dial-in Dictation) The clients also have the option of dictating directly into our dial-in dictation servers via toll free telephone line.

 
2. How will I receive transcription from your side? Top
  We will send you the transcripts through same FTP. On request we can send you the
transcripts through email.

 
3. What will be the format of transcript? Top
  We send transcripts in Microsoft Word format, which you can edit and print at your end.

 
4. Which digital handheld recorder do you recommend and how much it costs? Top
  We recommend digital recorders that are very easy to use and are competitively priced from Olympus (model: DS330), Sony, Panasonic, Voice IT, Uher (model: DH10), etc. Their prices range from approximately $120 to $350

 
5. Can I dictate with a digital recorder and transmit over the Internet on an ftp site that is secure, encrypted and under HIPAA regulations? Top
  We provide one client one FTP site and that's why only you will have access to allocated FTP site, which will be password protected and SSL enabled. The files need to be encrypted at the clients end and are decrypted on receipt at TransLogic. When the transcripts are sent to the clients, the similar operation is performed to encrypt the records that the client can decrypt. We use PGP software for this purpose, which is very easy to use. This way we achieve the HIPAA requirement. Our FTP sites are SSL enabled.

7. How does Toll Free Dictation Service work? Top
  Just call a telephone number (We will provide toll free Number) and dictate. Hang up the phone once you are done with dictation. The system will automatically send us the voice file through FTP site and we will send you the transcripts through same FTP or email as per your preference.

 
8. Is there a limit to how many times a day/week you can call? Top
  Our dictation systems are accessible 24x7x365 and you may dictate from anywhere at anytime using a touch-tone phone as well as cell phone.

 
9. Is there an additional charge for Toll Free Dictation Service? Top
  Yes, 2 cents per line

11. How many clients do you have in USA and Canada? Top
  More than 80 clients

 
12. Can I use your dictation System and FTP simultaneously? Top
  Yes, you can use dictation system and FTP as per your comfort. We will keep separate record for both and bill you accordingly. (2 cents extra per line only for the dictation received through dictation system). Few of our clients are using our service in this manner.

 
13. Do you provide training to our staff to get going with the FTP setup? Top
  Yes, we do provide training to your staff on how to use FTP. One hour is all that it takes for a person with minimal knowledge of computer.

 
14. Do you keep all the completed files on a private ftp site for me only? Top
  Yes (One client one FTP site).

 
15. How long do you keep our dictation and charts? Top
  months minimum.

 
16. How will you support? Top
  We provide email and telephonic support. Also we have local support for your query resolution. Our existing clients are happy with the support provided by us.

 
17. What medical transcription quality measures you have in place? Top

We have very good team of experienced Editors and transcriptionists. After the dictations are transcribed by our transcriptionists, the Editors check for errors, omissions, formatting, etc., and ensures expected quality of work before they send files back to client.

 
18. What equipment do we need at our end? Top

TransLogic provides secure and unique FTP access to all its clients to upload voice files into our FTP servers. In this method the clients use digital handheld recorders (by Sanyo, Sony, Olympus or any other leading manufacturer like Panasonic and Philips) and upload the voice files on to the FTP site. These files can be PGP encrypted as per client requirements. The clients also have the option of dictating directly into our dial-in dictation servers via toll free telephone line. The clients will need a computer with internet connection for uploading and downloading of dictations / transcripts when using handheld recorders.

 
19. What is the Turn-Around Time? (TAT) Top

We offer a TAT of 12-24 hours. The turnaround time for a transcription depends on the urgency indicated by the physician.

 
20. Do you take up Static Turn-Around Time work? (STAT) Top
  Yes. (4-10 hours)
